2025 QUILT SHOW ENTRY GUIDELINES 

1.  VOLUNTEERING: Members are required to do four hours of volunteer work at/for the quilt show to enter quilt(s) in the show. Sign up for volunteer jobs via SignUpGenius from the PVQA website under the “Quilt Show” tab. Talk to the Quilt Show Chair or Volunteer Coordinator if you require an exemption or alternative way to fulfill the volunteer requirement. 

2. ENTRY FORMS: An online entry form must be submitted for each entry.

  • For items in all divisions of the General Exhibit, use the entry form on the PVQA website under the “Quilt Show” tab—Quilt Show Entry Form. 

  • For items in the Live Auction, use the form on the PVQA website under the “Quilt Show” tab—Live Auction Entry Form. Refer to the 2025 Live Auction Entry Guidelines for details or contact Kenee Houser via the Quilt Show Entry contact form on the website or find her contact info in your membership roster.

 

3. DEADLINE: All entry forms must be submitted by Monday, January 13, 2025 at 11:59 p.m. Plan ahead – be on time. Submissions will not be accepted after the deadline! 

4. PHOTO: A photo must be provided with each entry. Your photo should be good quality, as straight on as possible, and cropped. 

5. ACCEPTANCE: Entries are accepted at the discretion of the Layout Committee. A maximum of 300 quilts can be accepted due to limited hanging equipment and space. 

6. LIMITS: Each person may enter up to five quilts. A separate online entry form must be submitted for each quilt. If entering multiple quilts, indicate the priority (1–5) of each on the entry form; quilts are included in the show in priority order subject to the Acceptance guidelines above. Wearable arts and display case items are not included in this limit. Note: Quilts to be hung with both sides displayed will count as two entries. 

7. FEES: Entry is free for PVQA members with four hours of volunteer work. Artists under 18 are free. Nonmembers pay $20 per entry. PVQA members may not pay the non-member entry fee in lieu of volunteering. 

8. QUILTS/ITEMS FOR SALE: Quilts, wearable arts, and display case items may be offered for sale. Bed turning quilts are not eligible. Please read the Sales Guidelines in the next section. 

9. WEARABLE ARTS: This year there are two divisions for Wearable Arts.

  • Garments entered in the Wearable Arts Exhibit will be displayed on mannequins and must remain in the exhibit for the entire show. 

  • Garments entered in the Wearables Walkabout will be modeled during a walking display of wearable art at appointed times during the show. We welcome all skill levels to enter a wearable piece of art that you created showing a special technique, a unique expression of your imagination or an item that is reused or repurposed. Note: If you plan to model your own piece in the Walkabout, you may bring it at the appointed time. If you wish to have someone else model your piece, you will need to attach the 2025 Quilt Label/Claim Check and check it in (see drop-off and pick-up instructions in the checklist below).

10. FOUR-INCH SLEEVE: Each quilt must be delivered with a 4-inch hanging sleeve securely attached to the top edge of the back of your quilt. Your quilt will not be exhibited if it doesn’t have a sleeve. 

11. QUILT LABEL/CLAIM CHECK: Each entry must have a 2025 Quilt Label/Claim Check securely attached to the back of the item. You can download a Quilt Label/Claim Check from the PVQA website under the Quilt Show tab—2025 Quilt Label/Claim Check. 

 

12. WITHDRAWALS: To withdraw an entry, please contact Entry Form Co-chairs Kristie Shulman and Alex Burke via the Quilt Show Entry contact form on the website or find their contact info in your membership roster.

Entry Checklist

  • Entry Checklist 

  • Fill out the online entry form completely. 

  • Submit your online entry form and photo for the General Exhibit (includes quilts, display case items, wearables) by January 13, 2025 at 11:59 p.m. 

  • Attach a 4-inch hanging sleeve to the top edge of the back of each quilt. 

  • Print and fill out the quilt label/claim check. 

  •  

  • Quilts: Attach to back lower-left corner as shown. Fold quilt so that label is visible. 

  • Wearable Arts: Attach to inside the back neck. Bring your wearable on a coat hanger. 

  • Remove any ribbons or other decorations that are not part of the entry. 

  • Make sure your entry is free of dirt, pet hair, and unpleasant odors. PVQA reserves the right to refuse items that do not meet these criteria. 

  • Bring entry(ies) to the Crosetti Building at the Fairgrounds on Friday, February 21, 2025 between 8:30 and 10:00 a.m. 

  • Pick up entry(ies) at the Crosetti Building on Sunday, February 23, 2025 between 4:45 and 5:15 p.m. Have your claim check(s) in hand.

Sales Guidelines 
  • ​​You, as the seller, determine the sale price for each item offered for sale. PVQA collects a commission of 25% of the sale price, not including sales tax. You receive 75% of the sale price, so price items accordingly. 

  • To calculate the sale price, determine the amount you would like to receive. Divide this number by .75. Round up to nearest dollar. For example, if you wish to receive $200, calculate the price as follows: 

o $200 ÷ .75 = $266.669 

     Round up to the nearest dollar: $267 = Sale Price 

o 75% to Seller = $200.25 

o 25% to PVQA = $66.75 

 

  • 9.5% sales tax will be added to your sale price and collected from the buyer. 

  • Payment will be mailed to the seller within 14 days after the show closes. 

  • Quilts in the General Exhibit may be displayed in the “Quilts for Sale” area at the seller’s option. Quilts in this area may be taken by the buyer upon receipt of payment. 

  • Items displayed in all other divisions (Challenge, Group Display, Workshop), Wearable Arts and Display Case) remain in the show until it closes. Buyers of all other sale items will receive a claim check to pick up their purchases from the Crosetti Building on Sunday, February 23, 2025 between 4:45 and 5:15 p.m.
